Who we are

WAVEMAKERS audio ("we", "us", "our") is a podcast production agency. We are the data controller for the personal information described in this policy.

Wavemakers Audio is a business name of Lynsay Gould, a sole trader based in the United Kingdom.

What this policy covers

This policy explains what personal information we collect, why we collect it, what we do with it and what rights you have. It applies to our website at www.wavemakersaudio.com, our marketing, our client work and our podcast production services.

The information we collect

If you visit our website, we collect technical information such as your IP address, browser type, device type, the pages you look at and how you got to us. Most of this comes through cookies and similar technology (see the cookies section below).

If you get in touch or book a call, we collect your name, email address, phone number, business name and whatever else you choose to tell us in your message or on a booking form.

If you subscribe to our emails, we collect your name and email address, plus data about whether you open our emails and click the links in them.

If you become a client, we collect contact and billing details, information about your business, project files, and anything else you share with us so we can do the work.

If you're a podcast guest or contributor, we collect your name, contact details, bio, photograph, social media handles and the audio and video of your recording. We also hold transcripts of what you said.

If you use our AI Voice Twin service, we collect voice recordings and voice models created from those recordings. Voice data is sensitive, so we only ever create and use a voice model with your explicit written permission, only for the purposes we've agreed with you, and we delete the model on request.

If you listen to a podcast we produce, your listening data is collected by the podcast hosting platform and the app you listen on, not directly by us. We see aggregated statistics such as download numbers and rough location, and in most cases we can't identify you from that.

We don't knowingly collect information from children.

Why we use your information, and our legal basis

We use your information to reply to enquiries and provide quotes, to deliver our services and manage projects, to take payment and keep accounting records, to produce, edit, publish and promote podcast episodes, to send you marketing emails where you've asked for them or where you're an existing client, to improve our website and services, and to meet our legal obligations.

Our lawful bases under UK GDPR are:

  • Contract, where we need your information to deliver services you've asked for.
  • Legitimate interests, where we're running and growing our business in a way you'd reasonably expect, such as responding to enquiries, understanding how our website is used and marketing to existing clients. We balance this against your rights every time we rely on it.
  • Consent, for marketing emails to people who aren't clients, for non-essential cookies, and for creating and using an AI voice model. You can withdraw consent at any time.
  • Legal obligation, for things like tax and accounting records.

Who we share it with

We use third party tools to run our business. These providers only process your information on our instructions and under contract. Depending on the service, they may include:

  • Website, CRM, forms and email marketing: GoHighLevel
  • Scheduling: Calendly
  • Video calls and remote recording: Zoom, Riverside, StreamYard
  • Transcription: Otter
  • Project management: Asana
  • File storage: Google Workspace
  • Podcast hosting and distribution: Captivate, Spreaker
  • Automation: Zapier
  • Payments: Stripe
  • Accounting: Xero
  • Website analytics: Google Analytics, GoHighLevel

We may also share information with professional advisers such as accountants and lawyers, and with authorities where the law requires it. If our business is ever sold or restructured, information may transfer to the new owner.

We don't sell your personal information, and we don't share it with third parties for their own marketing.

Transfers outside the UK

Some of the providers above are based outside the UK, mainly in the United States and the EU. Where information is transferred outside the UK, we make sure it's protected by an approved safeguard, usually UK adequacy regulations or the International Data Transfer Agreement or Addendum. You can ask us for details of the safeguards in place for any particular transfer.

How long we keep it

We keep information only as long as we need it:

  • Enquiries that don't become work: up to 2 years
  • Client records and project files: for the length of the contract and 7 years afterwards, so we meet accounting and legal requirements
  • Published podcast audio, video and transcripts: for as long as the episode remains published, as this is the whole point of the recording
  • AI voice models: for the length of the agreement, then deleted, or sooner if you ask
  • Marketing contacts: until you unsubscribe or after 2 years of no engagement
  • Website analytics: 26 months

Cookies

Our website uses cookies. Essential cookies keep the site working and don't need your consent. Analytics, functional and marketing cookies are only set if you agree to them through our cookie banner.

You can change your preferences at any time through [COOKIE SETTINGS LINK OR BANNER], and you can block or delete cookies in your browser settings, though some parts of the site may stop working properly if you do.

Marketing

If you've signed up for our emails, we'll send you podcasting tips, news and details of our services. Every email has an unsubscribe link and you can opt out at any time, or just email us and ask. Unsubscribing from marketing doesn't stop the practical emails we need to send you about work in progress.

Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the information we hold about you
  • Have inaccurate information corrected
  • Ask us to delete information in certain circumstances
  • Ask us to restrict how we use it
  • Object to processing based on legitimate interests, and object to direct marketing at any time
  • Receive information you gave us in a portable format
  • Withdraw consent where we relied on it

To exercise any of these, email info@lynsayanne.com. We'll respond within one month. We may need to confirm who you are first. Exercising your rights is free unless a request is clearly excessive.

Podcast guests

If you appear on a podcast we produce, your recording is published for the public to hear, and that's the point of it. Once an episode is out in the world it may be downloaded, shared and cached by third party apps and directories beyond our control. If you ask us to remove an episode we'll take it down from the hosting platform and distribution feeds, but we can't recall copies already downloaded.

Security

We use appropriate technical and organisational measures to protect your information, including access controls, encryption in transit, restricted file sharing and two factor authentication on our key systems. No system is perfectly secure, but we take this seriously and we'll tell you and the ICO promptly if there's ever a breach that puts your rights at risk.

Changes to this policy

We'll update this policy from time to time. The date at the top tells you when it last changed. If we make a significant change we'll let you know by email or a notice on the website.

If you're unhappy with how we've handled your information, please tell us first at info@lynsayanne.com so we can put it right.
